The business terms for using the GuidMe web app, backend API, and embeddable widget.

1. Who These Terms Are For

GuidMe is intended for adult business and professional users, including companies, organisations, teams, sole traders, freelancers, consultants, workspace administrators, invited team members, and API users.

You must be at least 18 years old and have authority to use GuidMe for business or professional purposes. GuidMe is not intended for children, teenagers, family use, or school/student use.

The contracting legal entity for GuidMe is [LEGAL ENTITY NAME REQUIRED]. The operator location provided for this review is Scotland, United Kingdom.

2. The Service

GuidMe provides a web app, Fastify backend API, and Preact widget that customers can embed in their own SaaS platforms. The widget can capture live audio, screen context, screenshots or video frames, session events, and customer-provided documentation or web links so an AI assistant can provide contextual guidance.

GuidMe uses third-party infrastructure and AI providers to operate the Service, including Supabase, Vercel, Railway, Google AI/Gemini services, Stripe, Postmark, Upstash Redis, and observability, analytics, experimentation, support, and newsletter providers where enabled.

3. Accounts, Workspaces, and Authority

  • You are responsible for the accuracy of account, workspace, billing, and administrator information.
  • You are responsible for users you invite and for API keys, embed snippets, widget configuration, documents, URLs, and other content submitted through your workspace.
  • You must maintain appropriate notices, permissions, and consents for your own end users when you deploy the GuidMe widget in your product.

4. Customer Content and AI Features

You retain ownership of content you submit to GuidMe. You grant GuidMe the permissions needed to host, transmit, index, analyse, display, and process that content solely to provide, secure, maintain, and improve the Service as described in the Privacy Notice and any applicable data processing agreement.

GuidMe uses AI features for voice, vision, screen-aware guidance, and project-scoped retrieval from customer documentation and crawled URLs. AI outputs may be incomplete, inaccurate, or unsuitable for a particular regulated use. You are responsible for reviewing AI outputs before relying on them.

  • Do not submit sensitive or regulated data unless your agreement, configuration, and notices support that use.
  • Do not use GuidMe for medical, legal, financial, employment, education, housing, credit, insurance, biometric, public-safety, or other high-impact decisions without qualified review and a written agreement that covers that use.
  • Google states that Gemini API Paid Services prompts and responses are not used to improve Google products. GuidMe must verify the production project service tier before relying on that term, and no zero-data-retention claim applies unless Google approves the project for that program.

5. Acceptable Use

You must use GuidMe lawfully and must not misuse the Service, the API, the widget, the AI features, or third-party integrations. The Acceptable Use and AI Policy forms part of these Terms.

6. Privacy and Data Processing

GuidMe processes account, workspace, billing, support, telemetry, uploaded content, AI-session, cookie, marketing, and security data as described in the Privacy Notice. Customer and end-user data roles may differ by feature: GuidMe may act as a controller for its own account, billing, support, security, legal, and marketing purposes, and as a processor or service provider when processing customer-controlled widget/session or uploaded content under customer instructions.

Customers are responsible for their own privacy notices, lawful bases, consents, end-user disclosures, and data processing terms for their deployment of the widget.

7. Plans, Billing, Cancellation, and Refunds

GuidMe supports free and paid plans, usage limits, overage concepts, subscription changes, and Stripe-based billing flows in the observed codebase. Paid plan details, currencies, taxes, invoices, renewals, cancellations, chargebacks, and refund handling are subject to the plan shown at checkout, the Refund and Cancellation Policy, Stripe terms, and any signed order form or enterprise agreement.

Unless a written agreement says otherwise, fees are not refundable except where required by law or where GuidMe confirms a billing error, duplicate charge, or other refund eligibility.

8. Suspension and Termination

GuidMe may suspend or restrict access where reasonably necessary to protect the Service, prevent abuse, comply with law, address payment failure, or respond to Terms violations. Users who do not accept required material Terms changes may be prevented from continued use where appropriate and should be given available export, cancellation, deletion, or support paths.

9. Intellectual Property and Feedback

GuidMe and its licensors retain ownership of the Service, software, user interface, documentation, trademarks, and related intellectual property. You may provide feedback, suggestions, or ideas, and GuidMe may use them without restriction or obligation unless a written agreement says otherwise.

10. Disclaimers, Liability, and Legal Review

Disclaimers, liability limits, indemnities, exclusions, governing law, court jurisdiction, arbitration, class-action waivers, service-credit remedies, and enterprise-specific terms require final owner/lawyer approval. The Scotland operator context means Delaware or England-and-Wales boilerplate should not be used as the default.

A likely starting point is Scots law and Scottish courts, but final wording is intentionally marked for owner/lawyer approval.

11. Changes and Notices

New users must accept the current Terms during signup. The app includes legal-document versioning, user acceptance records, and an in-app terms-update banner for Terms and Privacy versions. Material Terms changes may require affirmative re-acceptance. Material Privacy Notice changes should be notified to affected users, but privacy notices should not be framed as blanket consent.
